Optic Vault Marketing ("we," "us," "our") is a digital marketing agency based in Miami, Florida providing website design, automation, CRM, SMS marketing, and Google Business Profile services. This Privacy Policy explains how we collect, use, and protect information when you visit opticvaultmarketing.com, fill out a form, call us, text us, or become a client.
2. Information we collect
Information you give us
- Name, email, phone number, business name and city when you submit a form or request a free audit.
- Service interest, industry, and any details you share about your business.
- Payment information (collected and processed by our payment processor — we do not store full card numbers on our servers).
- Content you provide for your website, automation flows, or SMS templates.
Information collected automatically
- IP address, browser type, device type, operating system, referring URL, and pages visited.
- Cookies, pixels, and similar technologies used to measure site traffic and improve performance.
- Phone call metadata if you call our business line (date, time, duration, caller ID).
Information from third parties
- Google Analytics aggregated traffic data, Google Business Profile insights, Meta Pixel ad performance data, and TikTok analytics — only in aggregate, never personally identifying.
3. How we use information
- Deliver the services you requested (free audits, mockups, automation setups, GBP work, etc.).
- Communicate with you by email, phone, and SMS about your project, account, and service updates.
- Process payments and send invoices.
- Improve our website, services, and marketing.
- Comply with legal obligations and protect against fraud.
We do not sell personal information.
4. SMS, calls, and missed-call text-back
If you submit a form, request a quote, or become a client, you consent to receive calls and text messages from us at the phone number you provide. Standard message and data rates may apply. You can opt out of SMS at any time by replying STOP to any text from us; reply HELP for assistance. We honor opt-outs within 24 hours.
For clients using our missed-call text-back, appointment-reminder, review-request, and rebooking automations: you (the client) are the sender of those messages to your customers. You are responsible for collecting valid consent from your customers under the TCPA and CTIA guidelines. We provide compliant message templates, opt-out handling, and quiet-hour controls; you provide the consented contact list.
5. How we share information
We share information only with:
- Service providers who help us run the business — hosting (Netlify), email (Google Workspace), SMS/voice (Twilio), payments (Stripe), analytics (Google Analytics), CRM (HighLevel/GoHighLevel), AI image generation (Higgsfield, where applicable). Each is bound by a Data Processing Agreement.
- Legal authorities when required by subpoena, court order, or applicable law.
- An acquirer in the event of a merger, acquisition, or asset sale — with notice to you.
6. Cookies and analytics
We use essential cookies to make the site work and analytics cookies (Google Analytics) to understand how visitors use it. You can block cookies in your browser settings; some site features may not work without them.
7. Data retention
We retain information as long as needed to provide services, satisfy legal obligations, resolve disputes, and enforce agreements — typically 7 years for billing and tax records. You can request deletion of personal data not subject to a legal retention requirement (see Your Rights, below).

10. Children's privacy
Our services are for businesses and not directed to children under 13. We do not knowingly collect information from anyone under 13. If you believe we have, contact us and we will delete it.
